Title: Gallery Manager

Supervisor: Executive Director (or in the absence of the ED, the Board)

Summary of responsibilities: Responsible for the overall operation of the gallery including staff management, retail management, exhibitions/special displays, administrative and organizational duties, budget and facility management.

Hours: 40+ hours/wk based on need. This is a full-time, exempt

Salary Range: $30,000 – 45,000

Annual Benefits: 22 days of paid Combined Time Off (CTO) annually after three consecutive months of employment. Frog Hollow will pay a portion of health insurance after 90 days of employment. Gallery and class discounts after 30 days.

General Description: The Gallery is a major project of Frog Hollow Craft Association, a non-profit organization dedicated to education and support about handmade crafts. The role of the Gallery Manager is key to the success of Frog Hollow; the Manager will have autonomy, under the direction of the Executive Director, needed to run and to be accountable for the success of the Gallery and will assist the Executive Director, or in the ED' absence, the Board in fulfilling Frog Hollow's non-profit mission. Fulfilling this role will require a comprehensive understanding of the organization and a flexible approach in dealing with diverse issues, as well as acting as an ambassador presenting Frog Hollow to the public. Using this job description is a guideline; the Gallery Manager will work with the Executive Director to assess and to set priorities on a regular basis, and to set performance goals for the gallery. The Gallery Manager will understand, follow and exemplify Frog Hollow’s Code of Conduct and other policies as set by the Board of Trustees.

Essential Functions:

A. Staff Management/Personnel
a. Supervises and guides the activities of the gallery employees
b. Interviews, hires, and terminates (if necessary) all gallery employees, within budget and with approval of the Executive Director.
c. Coaches, motivates, and trains gallery employees
d. Conducts regular performance reviews of gallery employees
e. Ensures that each gallery employee has performance goals and objectives
f. Conducts regular staff meetings
g. Creates weekly gallery staffing schedule
h. Ensures adequate and appropriate staffing to meet gallery goals
i. Oversees appropriate payroll

B. Retail Management
a. Provides information for budget, and is accountable for adherence to the operating budget
b. Approves all gallery expenses
c. Promotes memberships, education activities related to the gallery, and merchandise sales
d. Places initial orders with consignment and wholesale exhibitors
e. Oversees ordering of consignment merchandise
f. Orders wholesale merchandise
g. Works to keep a varied product and price mix
h. Analyzes sales, attendance, and transaction volume
i. Determines and is responsible for regular changes to and display aesthetics in gallery
j. Ensures appropriate signage on displays
k. Ensures sufficient stock of gallery supplies including lights, receipts, display fixtures, boxes, etc.
l. Responsible for the interior and exterior appearance of the gallery
m. Mentors sales associates in proper sales techniques
n. Learns about and trains employees as to each artist media process
o. Is familiar with all gallery job duties

C. Exhibitions/Special Events
a. Coordinates the gallery’s participation in any special events, demonstrations or exhibits; annual seconds sale and other community involvement
b. Promotes education in the gallery through special displays, artist information cards, photo essays, craft demonstrations
c. Coordinates logistics of implementing exhibitions including applications, jurying, correspondence, contracts, exhibition statements, in-house signage, physical management of show inventory, receptions, exhibition set-up, break-down and return shipping
d. Coordinates advertising and promotion, including social media
i. Creates gallery advertising
ii. Maintains gallery posts for social networking sites
iii. Updates gallery tab on website to reflect current gallery exhibitions
iv. Creates monthly email blast of current gallery exhibitions
v. Writes press releases for monthly gallery exhibits and events to be sent to media list
vi. Oversees all social media related to the gallery

D. Administrative Duties
a. Attends and runs monthly staff meetings
b. Attends annual meeting and board meetings as requested
c. Works with Executive Director to compare all activities and performance to the Frog Hollow brand, as determined by the Board.
d. Ensures social media is kept up to date
e. Provides administrative support to Board as needed

E. Artist Management
a. Promotes artists, tracks artists sales, progress and inventory.
b. Communicates with artists regarding sales and inventory supply
c. Provides adequate back up for the Gallery Operation Manager

F. Community Involvement
a. Represents Frog Hollow at business and community functions
b. Partners and/or networks with community arts organizations
c. Partners with schools or other organizations to involve students in the arts (performance or exhibition)

G. Other
a. Maintains the office, bathrooms, storage areas, gallery, keeping it organized and clean
b. Performs other duties as requested by the Executive Director or Board

Basic Qualifications and Requirements:

- At least five (5) years experience managing a storefront retail store;
- At least five (5) years experience supervising at least two or more individuals;
- Experience with product and financial management
- Experience, knowledge, or interest in arts and specifically handmade crafts
- Ability to work flexible schedule during any hours the gallery is open and occasional evenings, nights, or weekends
- Ability to exercise sound, independent judgment within the limits of the position
- Ability to communicate professionally and diplomatically with artists, board members, other employees, and the public about diverse issues
- Ability to handle multiple projects at the same time, work effectively under pressure, and meet scheduled deadlines
- Ability to read, write, and otherwise communicate with others effectively and succinctly on both simple and complex matters
- Ability to establish and maintain positive working relationships with others
- Ability to give and receive constructive criticism and react appropriately
- Ability to regularly attend work
